Adding and Removing Admin Roles

You can assign admin roles to give faculty or staff access to specific academic units. This guide covers how to add or remove admin roles manually, as well as how to assign them in bulk using a CSV file. This is a part of a series on Managing School Data in ClassRanked. If you are not a system admin or account owner, this feature is currently not available to you.


Method 1: Manually Add or Remove Admin Roles

✅ To Add an Admin Role:

  1. Go to the People page and click the Faculty & Staff tab.
  2. Find the target user and double-click their row.
  3. Scroll to the Academic Unit Roles section.
  4. Click Add Role and choose one of the following:
    • Viewer – Can view reports but can't edit or update term or survey data
    • Editor – can edit surveys and dates but cannot see results
    • Owner – full control over assigned units
    • ⚠️ Role capabilities are currently similar, but will differentiate more as advanced features are added.
  5. Select the relevant academic unit by searching for the Academic Unit you need ownership of
    1. ⚠️ At some institutions, multiple Academic Units share the same name. We recommend using the Abbreviation when searching for most accurate results. To know what the relevant Abbreviation for your Academic Unit is, please go to the Reporting Hierarchy and confirm the Abbreviation of the Academic Unit you want to give access to. Then search by that Abbreviation.
  6. Click Save.

The user now has admin access for that unit.


❌ To Remove an Admin Role:

  • Click Delete in the Academic Unit Role card.
  • Refresh the page to confirm the role has been removed.

Method 2: Bulk Upload Admin Assignments via CSV

📄 Use this method when assigning roles to many users across different academic units.


Steps:

  1. Go to the Faculty & Staff tab.
  2. Click Upload Faculty Roles > Upload a CSV File.
  3. Select your completed CSV file.
  4. On the mapping page, you will need the following columns to ensure successful mapping of the admin role in the system.
    • Email  – Admin’s email address
    • Role  – Viewer, Editor, or Owner
    • Academic Unit  – Abbreviation of the unit in the reporting hierarchy
  5. Click Upload.
  6. When processing is complete, click Done.
  7. You can verify the roles were applied by refreshing the page and double-clicking into any user’s record.
